This Security Deposit Policy explains how security deposits may apply when you rent laptops, MacBooks, desktops, workstations, accessories, or computer systems through Rentlap.
A security deposit helps protect the rented device against unpaid rental charges, late returns, missing accessories, damage, loss, theft, or violation of rental terms. The deposit is refundable after the device is returned, inspected, and all applicable dues are cleared.
Please read this policy carefully before confirming your rental order.
A security deposit is a refundable amount collected before handing over a rental device.
It is not the same as the rental fee. The rental fee is the charge for using the device during the rental period, while the security deposit is held as protection during the rental.
The security deposit may be refunded after the rented device and accessories are returned in acceptable condition and all outstanding charges are settled.
Rentlap may collect a security deposit to protect against risks connected with renting laptops and computer systems.
The deposit may be used to cover:
If there are no dues, damage, missing items, or policy violations, the applicable deposit amount will be refunded after inspection.
The security deposit is usually collected before device delivery, pickup, or handover.
Rentlap may require a deposit after the rental enquiry is reviewed and before the order is confirmed. In some cases, the deposit may be collected along with the first rental payment.
The device will be handed over only after the required payment, deposit, and verification process are completed.
A security deposit may be required depending on the rental order.
The deposit requirement can vary based on:
Rentlap will share the deposit amount, if applicable, before rental confirmation.
The security deposit amount is decided based on the device and rental requirements.
Higher-value devices, MacBooks, gaming laptops, workstations, premium laptops, long-term rentals, bulk rentals, or orders with higher risk may require a higher deposit.
For business or corporate rentals, the deposit terms may be different depending on the agreement, quantity, rental duration, billing cycle, and verification process.
For individual customers, Rentlap may request a refundable security deposit before the device is handed over.
The final deposit amount will be shared after reviewing the customer’s requirement, device selection, rental duration, location, and verification details.
Customers may also be asked to submit valid identity and address proof before rental approval.
Students may be required to pay a refundable security deposit depending on the device, rental duration, and verification documents provided.
Rentlap may request documents such as student ID, address proof, identity proof, parent or guardian details, or other verification information before confirming the rental.
The deposit amount and rental approval will be shared after reviewing the enquiry.
For companies, startups, institutions, training centers, and event teams, the security deposit may depend on the order size, number of devices, rental duration, device value, delivery location, and commercial terms.
Bulk rental orders may be handled through quotation, invoice, purchase order, agreement, or written confirmation.
In some cases, the deposit may be adjusted based on business verification, GST details, credit approval, payment cycle, or written rental agreement.
The security deposit refund is processed after the rented device and accessories are returned and inspected.
Before refunding the deposit, Rentlap may check:
If everything is in acceptable condition and there are no outstanding dues, the applicable refundable deposit will be processed.
Security deposit refunds are generally processed after return inspection and clearance of all dues.
The actual refund timeline may depend on the inspection process, bank processing time, payment method, customer details, weekends, holidays, and any issues found during return inspection.
If there is damage, missing accessories, late return, unpaid rent, or any dispute, the refund may be delayed until the issue is reviewed and settled.
Rentlap may deduct applicable amounts from the security deposit if there are pending charges, missing items, damage, late return, or violation of rental terms.
Deductions may apply for:
Any deduction will depend on the device condition, repair cost, replacement cost, rental agreement, and inspection findings.
Customers must return all accessories provided with the device.
Accessories may include:
If any accessory is missing, damaged, replaced with a non-compatible item, or returned in unusable condition, Rentlap may deduct the replacement or repair cost from the security deposit.
Customers are responsible for keeping the rented device safe during the rental period.
Damage-related deductions may apply if the device is returned with issues such as:
Normal usage marks may be reviewed separately, but damage beyond acceptable usage conditions may be chargeable.
For detailed terms, please refer to Rentlap’s Damage Policy.
Devices must be returned on or before the agreed rental end date unless Rentlap approves an extension.
If the customer does not return the device on time, late return charges or additional rental charges may apply.
These charges may be adjusted from the security deposit if they are not paid separately.
Customers who need more time should request an extension before the rental period ends.
If a rented device is lost, stolen, not returned, or cannot be recovered, the customer may be responsible for the replacement value of the device and accessories.
The security deposit may be adjusted against the replacement cost, pending rent, recovery cost, or other applicable charges.
If the total loss exceeds the security deposit amount, the customer may be required to pay the remaining balance.
Customers must immediately inform Rentlap in case of loss or theft.
Before returning the device, customers must remove personal files, passwords, accounts, login restrictions, device locks, and software restrictions.
If a returned device is locked, restricted, or unusable because of customer-installed passwords, accounts, encryption, MDM profiles, or software locks, the refund may be delayed until the issue is resolved.
If technical work is required to unlock, reset, or restore the device, applicable charges may be deducted from the deposit.
Rentlap is not responsible for customer data left on the device after return.
The refundable deposit will usually be returned through the payment method or bank details confirmed during the rental process.
Customers may be asked to provide accurate bank account details, UPI details, invoice details, or payment reference information for refund processing.
Rentlap is not responsible for delays caused by incorrect refund details provided by the customer.
In some cases, customers may request to adjust the security deposit against a rental extension, renewal, new rental order, pending rent, or other payable amount.
Such adjustment is subject to Rentlap’s approval and rental account status.
If a customer disagrees with a deposit deduction, they should contact Rentlap with the rental details and the reason for the dispute.
Rentlap will review the device condition, inspection notes, photographs if available, payment details, rental terms, and communication history before giving a final response.
Deposit-related disputes must be raised within a reasonable time after the deduction or refund update is shared.
Rentlap may update this Security Deposit Policy from time to time based on business, legal, operational, or service requirements.
The latest version published on the website will apply unless specific written terms have been agreed for a confirmed rental order.
If you have questions about the security deposit amount, refund timeline, deductions, verification, or business rental terms, please contact Rentlap before confirming your rental order.
