This KYC & Verification Policy explains how Rentlap may verify customers before confirming laptop, MacBook, desktop, workstation, accessory, or bulk computer rental orders.

Rentlap may request identity, address, student, employee, business, or order-related verification details to reduce fraud risk, protect rented devices, confirm customer information, support delivery, and process rentals safely.

Please read this policy carefully before submitting documents or confirming a rental order.

1. Policy Overview

Laptop and computer rentals involve temporary handover of valuable devices. To protect customers, Rentlap, and rented assets, verification may be required before a rental is approved.

Submitting a rental enquiry does not guarantee approval. Rentlap may review the customer’s information, rental requirement, location, order value, deposit status, payment status, and documents before confirming the rental.

Rentlap may refuse, delay, or cancel a rental request if verification is incomplete, documents are invalid, information is inaccurate, payment is pending, or the request does not meet internal approval requirements.

2. Why KYC and Verification May Be Required

Rentlap may conduct verification for several reasons, including:

  • To confirm the customer’s identity
  • To verify the delivery or pickup address
  • To reduce fraud, misuse, theft, and non-return risk
  • To protect laptops, MacBooks, desktops, and accessories
  • To process rental orders responsibly
  • To confirm business or institutional rental details

Verification may be required before Rentlap confirms a rental order, reserves a device, collects payment, schedules delivery, allows pickup, or hands over the device.

Verification may also be requested if:

  • The order is for a business, institution, event, or bulk rental
  • Delivery is requested to a new or unverified address
  • Customer details are incomplete or unclear
  • Additional risk checks are required
  • There is a change in rental quantity, delivery address, or order type

Rentlap may request additional verification even after the initial enquiry if required for order approval.

Depending on the rental requirement, Rentlap may request information such as:

  • City and pincode
  • Purpose of rental
  • Rental duration

For working professionals, freelancers, or employees renting laptops for work, Rentlap may request:

  • Work email or company details, if applicable
  • Delivery address confirmation
  • Rental purpose details
  • Payment confirmation
  • Alternate contact details, if required

If the rental is being arranged by an employer, company verification or written approval may be required.

8. Documents for Businesses and Companies

For business, corporate, startup, agency, or company laptop rental requirements, Rentlap may request business verification details.

Documents or details may include:

  • Company name
  • Business address
  • GST details, if applicable
  • Authorized person’s name and contact details
  • Company email address
  • Purchase order, if applicable
  • Rental requirement details
  • Billing details

Business rental orders may also be confirmed through quotation, invoice, purchase order, written approval, or rental agreement.

For schools, colleges, coaching centers, training companies, event organizers, examination teams, or institutions, Rentlap may request additional order-level verification.

Details may include:

  • Institution or organization name

Bulk and event-related rentals may require advance confirmation because they involve device reservation, logistics planning, and return coordination.

10. Address Verification

Rentlap may verify the delivery or pickup address before confirming a rental.

Address verification may be required to ensure that the device is delivered to the correct location and can be collected safely at the end of the rental period.

Customers must provide accurate address details, including house or office number, building name, street, area, city, pincode, landmark, and contact number.

If the address is incomplete, incorrect, unserviceable, or cannot be verified, Rentlap may delay, refuse, or cancel the rental request.

11. Phone and Email Verification

Rentlap may verify the customer’s phone number and email address before rental confirmation.

This may be done through phone calls, WhatsApp messages, SMS, email confirmation, or other communication methods.

Customers must provide reachable contact details. If the customer is unreachable or does not respond to verification communication, the rental order may be delayed or cancelled.

12. Business Authorization Verification

For company, institution, event, or bulk rental orders, Rentlap may verify whether the person placing the order is authorized to rent on behalf of the organization.

Rentlap may request company email confirmation, purchase order, authorization letter, GST details, business card, employee ID, or written approval from an authorized person.

If authorization cannot be verified, Rentlap may refuse or delay the rental order.

13. Payment and Deposit Verification

Rental orders may require payment and security deposit verification before device handover.

Rentlap may verify:

  • Rental payment status
  • Security deposit payment status
  • Payment reference number
  • Bank transfer confirmation
  • UPI or payment gateway confirmation
  • Invoice or billing details
  • Refund account details, if applicable

The device may not be delivered, picked up, or handed over until payment and deposit requirements are completed.

Additional verification may include more detailed identity checks, address confirmation, business confirmation, higher security deposit, written agreement, or additional approval before handover.

Rentlap may decide the required verification level based on device value, rental duration, customer type, location, and order risk.

15. Verification for Bulk Rentals

Bulk rental orders may require more detailed verification because multiple devices are involved.

For bulk orders, Rentlap may verify:

  • Organization details
  • Authorized contact person
  • Billing and GST details
  • Delivery and return location
  • Quantity and configuration requirements
  • Rental duration
  • Payment terms
  • Security deposit terms
  • Purchase order or written approval
  • Event or training schedule, if applicable

Rentlap may also require a signed agreement or written confirmation for business and bulk rental orders.

16. Accuracy of Information

Customers must provide accurate, complete, and updated information during enquiry, verification, payment, delivery, and rental confirmation.

Incorrect or misleading information may result in:

  • Delay in rental approval
  • Delivery delay
  • Cancellation of rental request

17. Document Validity and Quality

Documents submitted for verification must be clear, valid, readable, and belong to the customer or an authorized person.

Rentlap may reject documents if they are:

  • Blurred or unreadable
  • Expired
  • Incomplete
  • Altered or suspicious
  • Not matching the customer details
  • Not suitable for verification
  • Shared in an unsupported format

Rentlap may request updated or additional documents if required.

18. Refusal or Cancellation Due to Failed Verification

Rentlap may refuse, pause, or cancel a rental request if:

  • Verification is incomplete
  • Documents are not provided
  • Documents are invalid or unclear
  • Details do not match
  • Customer is unreachable
  • The address is not serviceable or cannot be verified
  • Payment or deposit is not completed
  • Risk checks are not approved
  • Fraud, misuse, or suspicious activity is suspected
  • Business authorization is not confirmed

If any payment has already been made, refund eligibility will be handled as per Rentlap’s Refund & Cancellation Policy.

19. Use of Verification Information

Rentlap may use verification information to:

  • Confirm customer identity
  • Process rental approval
  • Confirm delivery and pickup details
  • Protect rented devices
  • Prepare quotations, invoices, or agreements
  • Manage payments and security deposits
  • Handle customer support
  • Resolve rental disputes

20. Storage and Retention of Verification Information

Rentlap may retain verification information for as long as necessary for rental processing, payment records, deposit refunds, delivery and pickup records, return inspection, dispute resolution, accounting, legal, fraud prevention, or business record purposes.

The retention period may vary based on the type of rental, customer category, payment status, active orders, disputes, and business requirements.

When verification information is no longer required, Rentlap may delete, archive, anonymize, or securely dispose of it according to internal practices and applicable requirements.

21. Sharing of Verification Information

Rentlap may share limited verification information with trusted parties when required for rental processing, delivery, payment, verification, customer support, legal, or operational purposes.

Information may be shared with:

  • Delivery or pickup partners

22. Customer Consent

By submitting documents or verification details to Rentlap, the customer agrees that Rentlap may review, use, store, and process the information for rental verification, order confirmation, delivery, payment, support, deposit, dispute, and business record purposes.

If a customer does not wish to provide the required verification details, Rentlap may not be able to approve or process the rental request.

23. Data Security

Rentlap takes reasonable steps to protect verification information from unauthorized access, misuse, loss, disclosure, or alteration.

However, no digital storage, website, communication channel, or electronic transmission method can be guaranteed to be completely secure.

Customers should avoid sending sensitive documents through unsecured or unofficial channels and should share documents only through communication methods approved by Rentlap.

24. Customer Responsibility for Shared Documents

Customers must ensure that documents shared with Rentlap are accurate, valid, and legally usable for verification.

Customers should not share forged, edited, false, misleading, or third-party documents without authorization.

Submitting false or unauthorized documents may result in rental rejection, cancellation, loss of deposit eligibility, refusal of future rentals, or further action where required.

25. Changes in Customer Information

Customers must inform Rentlap if there is any change in contact number, email address, delivery address, billing details, business details, or rental-related information after verification.

If a customer changes the delivery address, authorized receiver, rental duration, or device quantity, additional verification may be required.

26. Verification at Delivery or Pickup

Rentlap or its authorized representative may verify the receiver’s identity at the time of delivery, pickup, or handover.

The person receiving the device may be required to show identity proof, confirm contact details, sign an acknowledgement, or provide delivery confirmation.

If the receiver is not authorized or the identity cannot be verified, Rentlap may refuse handover or reschedule delivery.

27. Verification for Return and Refund

Before processing deposit refunds or rental closure, Rentlap may verify return details, device condition, accessories, customer identity, payment records, and refund account details.

Refunds may be delayed if refund details are incorrect, customer identity is unclear, device inspection is pending, or there are unresolved dues, damage claims, or missing accessories.

28. Fraud Prevention and Misuse Protection

Rentlap may conduct additional checks if fraud, misuse, theft, non-return, false information, or policy violation is suspected.

Rentlap may use customer information, communication records, payment details, delivery records, device serial numbers, inspection reports, and verification documents to protect rented devices and business operations.

In serious cases, Rentlap may take recovery, legal, or reporting action as permitted under applicable law and rental terms.

29. User Rights and Privacy Requests

Customers may contact Rentlap to request correction, update, or clarification regarding the verification information they have shared.

Some requests may be limited if the information is required for active rentals, pending payments, deposit refunds, accounting records, fraud prevention, dispute resolution, device recovery, or legal compliance.
